Privacy Policy

Worqbase is a WhatsApp-native booking and customer-communication platform for service businesses, operated by Royal Cleaners (“Worqbase”, “we”, “us”, “our”). This Privacy Policy explains how we collect, use, share, and protect personal information when you use the Worqbase website, dashboard, and WhatsApp Business integration (together, the “Service”).

This policy covers two groups: businesses that subscribe to Worqbase (“Customers”), and the customers of those businesses whose information is processed through the Service (“End Customers”). For End-Customer information, the subscribing business is the data controller and Worqbase acts as a processor on its behalf.

1. Information we collect

Information you provide. When a Customer signs up and completes onboarding, we collect account and business details such as name, email address, phone number, business name, business category, location, logo, and service offerings.

WhatsApp & Meta Platform Data. When a Customer connects a WhatsApp Business Account through Meta’s Embedded Signup, we receive and process data from Meta’s WhatsApp Business Platform, including the WhatsApp Business Account (WABA) ID, business phone numbers and their IDs, message templates, and the content and metadata of WhatsApp messages sent to and from the connected number — including End-Customer phone numbers, message text, media, and timestamps.

End-Customer information. Names, phone numbers, addresses, booking details, and messages that End Customers send to a Customer’s WhatsApp number are processed so the Customer can serve them.

Payment information. Billing details required to manage subscriptions, processed through our payment provider. We do not store full card numbers.

Technical and usage data. IP address, browser and device information, log data, and cookies used to keep you signed in and to operate the Service.

2. How we use information

We do not sell personal information, and we do not use WhatsApp message content for advertising.

3. WhatsApp Business Platform data

Data we obtain through Meta’s APIs (“Platform Data”) is used solely to provide the Worqbase Service to the business that connected its account. We use Platform Data to display and manage that business’s WhatsApp conversations, send booking confirmations, reminders, and invoices, and power automated and AI-assisted responses on its behalf.

We access the WhatsApp assets only of businesses that have explicitly connected their account to Worqbase, only for as long as that connection remains active, and we handle Platform Data in accordance with Meta’s Platform Terms and Developer Policies.

We share information with service providers (“sub-processors”) strictly to operate the Service:

We may also disclose information where required by law, or in connection with a merger, acquisition, or sale of assets. We do not sell personal information.

5. Data retention

We retain account and business data while a Customer’s account is active. WhatsApp messages and booking records are kept for as long as needed to provide the Service and to meet legal and accounting obligations. When a Customer closes their account or disconnects WhatsApp, we delete or anonymise the associated data within a reasonable period, except where the law requires us to retain it.

We protect information using encryption in transit, authenticated access, and database row-level security that isolates each business’s data from every other business. No method of transmission or storage is completely secure, but we work to protect your information and to address vulnerabilities promptly.

8. International data transfers

Worqbase primarily serves businesses in South Africa. Some of our sub-processors operate servers outside South Africa, so your information may be processed in other countries. Where this happens, we take steps to ensure your information remains protected.

9. Your privacy rights

Under the Protection of Personal Information Act (POPIA) and, where applicable, other data-protection laws, you may request access to, correction of, or deletion of your personal information, and you may object to certain processing. To exercise these rights, contact privacy@worqbase.app.

If you are an End Customer, please direct requests to the business you interacted with — it controls that information — and Worqbase will assist that business in responding.

10. Children’s privacy

Worqbase is a tool for businesses and is not directed to children. We do not knowingly collect personal information from children.

11. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above, and significant changes will be communicated through the Service.
